Your Role

The Programmatic Staff Assistant (“Assistant”) provides a variety of administrative, programmatic, and clerical support to the Policy & Media, Research, and Communications Programming teams to help further the Council’s mission and strategic plan.  The Assistant will be expected to manage the scheduling and logistics of meetings and events, assist with outreach to Council contacts, facilitate travel arrangements, track developments across departments, attend and take minutes at meetings, prepare expense reports, and maintain electronic files for the departments.  The Assistant will also be expected to review and summarize documents and conduct cite checking. 

As with all positions at the Council, this position requires commitment to the Council’s mission.

Essential Job Functions

Responsibilities include, but are not limited to:

  • Reports to the Managing Director of Programs and supports the needs of the Policy, Media, Research, and Communications Programming teams. 
  • Schedules and organizes meetings and other events for the Policy, Media, Research, and Communications Programming teams. 
  • Maintains, organizes, and updates electronic and paper files for the departments. Retrieves information from files when needed. 
  • Performs administrative/clerical tasks as needed, including but not limited to staff expense reports and reimbursements; note taking for internal team meetings and other meetings as needed; ordering and maintaining office supplies and technology; ordering and coordinating catering; formatting, preparing, photocopying documents, etc. 
  • Manages documentation and arrangements with outside authors and consultants 
  • Drafts written responses or replies by phone or e-mail when necessary.  
  • Proofreads copy for spelling, grammar and layout, making appropriate changes consistent with the Council’s style guide. Responsible for accuracy and clarity of final copy. 
  • Answers phones. Takes messages and fields/answers all routine and non-routine questions. 
  • Acts as a liaison with other departments and outside agencies, including high-level staff. 
  • Handles confidential information with discretion. 
  • Works independently and within a team on special nonrecurring and ongoing projects. Acts as project coordinator for special projects, at the request of the supervisor, which may include planning and coordinating multiple presentations and disseminating information. 
  • Conducts limited research tasks as assigned, including but not limited to, summarizing documents, extracting data from databases, organizing and sorting data, transcribing recordings, etc. 
  • Perform related duties as assigned. 

Required Education and Experience

  • Must have a minimum of 4 years of experience in an administrative position or a bachelor’s degree along with at least one year of experience in an administrative position.  
  • Computer skills: Proficiency in Microsoft Word and Excel essential
